MS CRM - Business Units


Business Unit:        

    Business units form the foundation upon which the security structure is built.
They allow the grouping of users and the objects they own so that permissions to
those objects can be set. When planning a Microsoft Dynamics CRM
deployment, many typically start with a current business organization chart; this
is not always useful since organization charts typically represent a reporting
structure rather than a security structure.
             The process of defining a Business Unit structure in Microsoft Dynamics CRM
entails a larger design process where the security needs of each part of the
organization dictate the structure you must use. Within this structure, Business
Units provide the framework upon which you configure the following
components of a Microsoft Dynamics CRM deployment:

• User management
• Security
• Reporting

Root Business unit:


There must be at least one Business Unit in Microsoft Dynamics CRM. The root
Business Unit is the top-level node of the Microsoft Dynamics CRM
organizational hierarchy. This may represent the corporation or holding company
of all Business Units in the organization. The root Business Unit has the
following characteristics:

• There is exactly one root Business Unit in Microsoft Dynamics
CRM.
• The root Business Unit is automatically created by the Microsoft
DynamicsCRM Server Setup program (or from the Deployment
Manager if this is a second or subsequent organization in a multiorganization
deployment).

• Because it is the top-most Business Unit in any organizational
hierarchy, the root Business Unit cannot be assigned a parent
Business Unit.
• The root Business Unit cannot be deleted or disabled.

Business Units contents:


   A Business Unit may contain the following entities:

• Users
• Business Units
• Teams

   Although it does not have to contain any of these, there would be little point in a
Business Unit without at least one of these types of entity. A Business Unit may
also relate to one or more of the following entities:

• Facilities/Equipment
• Resource Groups
• Audit History
• Processes
• Dialog Sessions



Creating Business unit:


1. From the Navigation Pane, click Settings, click Administration, and
then click Business Units.
2. On the list Toolbar, click New.
3. In the Business Unit form, enter the information that you want for
the new Business Unit.

a. In the General tab, enter a Name for the new Business Unit.
Microsoft DynamicsCRM fills the Parent Business field with the
name of the root Business Unit (unless you are creating a
Business Unit from within another one). Click the Lookup button
to change the value in the Parent Business field if a new
Business Unit has a different parent.

b. Enter any of the remaining fields on the General tab required by
your organization.

c. On the Addresses tab, you can enter information for the Business
Unit's Bill To Address and Ship To Address.

4. Click Save. After saving the record, you can click the record types
under Organization to see a list of related records. These will all be
empty for a newly-created Business Unit apart from the Teams list,
where you will see the default Team. You can use the New <item>
button on the Toolbar to create new related records (e.g. to create
new Users for the Business Unit).

5. Click Save and Close.

Parent Business Unit:


  The Parent Business Unit field is required for any Business Units you create. The
only one that cannot have a parent is the root Business Unit and that is created by
the system on creation of the Organization. You can change the Parent Business
Unit of any Business Unit in order to reorganize your structure. When you do
this, the following considerations apply:

• Changing the parent of a Business Unit affects all the children of that
Business Unit, they move with the parent.

• You will not be allowed to create circular relationships. For example
setting A to be the parent of B; B to be the parent of C; and C to be
the parent of A.

• You cannot change the parent of the root Business Unit (the root
Business Unit cannot have a parent).

• You cannot set the parent of a Business Unit to nothing.
Perform the following steps to change settings on an existing Business Unit:

• From the Navigation Pane, click Settings, click Administration, and
then click Business Units.

• Open the Business Unit record that you want to change.

• Change the settings for an existing Business Unit.

• The Information window displays by default for the Business Unit.
Change any values you need to change under the General or
Addresses tabs.

• If you want to change the Parent Business Unit, and so change this
Business Unit's place in your hierarchy, you must use the option on
the Actions Menu .
• Under the Organization pane on the left hand side of the window,
select a record type to see the list of related records, and to change
the settings for selected records (for example, users, teams, and
facilities/equipment). Use the button on the Toolbar to add new
records. The More Action button will reveal actions specific to the
particular related records you are looking at.
• Click Save or Save and Close.
